Q:What is Google Workspace for Education (formerly G Suite)?

  • Google Workspace for Education is a free online application service (Apps) provided by Google for educational institutions. This service includes email, calendar, instant messaging, news, weather, and other online services provided by Google. These services are hosted by Google, with schools acting as intermediaries, providing their users with access to all services under the same community and domain name through external redirection technology.

Q:The role our school plays?

  • The primary component of Google Workspace for Education is the email mailbox. Our school has registered with Google using the exclusive domain @email.nchu.edu.tw. Unlike the @nchu.edu.tw mailboxes currently provided within the campus, these are a completely new set of mailboxes. Our school only plays the role of URL redirection and assisting with account creation, and has no authority to access any personal privacy data.
  • You can use the online resources provided by Google just like with regular free Google services. As our school does not have actual server management rights, any complaints or issues must be addressed by users seeking assistance from Google administrators.

Q:What are the eligibility requirements?

  • Faculty and staff can apply during the validity period of their official school email accounts @nchu.edu.tw (also @dragon.nchu.edu.tw). Each email account is limited to one Google account application.
  • Students can apply during the validity period of their official school email accounts @mail.nchu.edu.tw. Each email account is limited to one Google account application.

Q:What version does the Google account belong to after application?

  • Starting from July 1, 2022, the school purchased Education Plus (paid version), thus providing Education Plus version (paid version) for in-service faculty and staff, with the authorization period until July 1, 2025. Students will use the Education Fundamentals version (free version). If students have a need for the paid version, they can apply to the Computing Center.

【Register and Account】

Q:I can't complete the registration!!

  • If you're unable to register successfully, please try to recall or search for past emails to further confirm if you've registered before.

Q:I completed the registration, but it seems like I didn't receive the verification email!

  • Based on our years of experience assisting users with this issue, as long as the email account you provided during service registration is correct, the email should successfully reach your inbox.
  • If you haven't received the verification email, you can follow the troubleshooting steps below:
  1. If you are using Webmail, you can sort your emails by "Date" to ensure that the newest emails are at the top, preventing them from being buried under less important ones (marked with an exclamation mark).
  2. If you have stricter spam filtering rules enabled on your account, you can also check your spam or junk mail folder to see if the email accidentally got filtered there!!

Q:I've completed the registration, but I forgot my password. What should I do?

  1. If you've completed the registration but have never used this service before and haven't changed the initial password, we suggest you first search for the notification email sent by the system. The default password provided by the system in the notification email should still be valid.
  2. If you forget your password right after your account is activated or if you haven't set up alternative contact information for login, you can seek assistance from the computing center administrator at our school to reset your password (you can email a photo of your student ID to the system administrator or bring your ID to the computing center). The administrator will send a password reset email to your school email address through the Google admin interface, allowing you to reset it yourself.
  3. We recommend setting up alternative phone numbers or email addresses (they don't have to be your school email address) as backup contact information according to the Google account instructions after your account is activated. This is to ensure that you have a way to retrieve access to your account by resetting the password in the future.

 

Q:After applying, what should my account be? How do I log in?

  • You can log in using Google's homepage at:https://www.google.com
  • For faculty and staff, the account will be the one applied for with the format @email.nchu.edu.tw. For students, the account will be the one applied for with the format @smail.nchu.edu.tw.

Q:Why can't I suddenly log in to my account? What should I do?

There are several reasons why an account might be suspended:

  • High Usage Accounts: Accounts with high usage that haven't been addressed after notification may be suspended.
  • Exceeding Allocated Capacity: In accordance with Google's capacity reduction policy, we implement periodic capacity reductions. If an account exceeds our specified capacity limit (currently 30GB for faculty and staff, 10GB for students), it may be suspended.
  • Accounts Inactive for Over One Year: As per current regulations, idle accounts inactive for over one year will be suspended.
  • Abnormal Behavior: Google automatically detects account behavior. If it detects violations of Google policies, the account will be automatically suspended. In cases of significant violations, computing center administrators are not authorized to assist in reactivating the account; individuals must contact Google directly.

If you encounter any of the above situations, please contact the computing center administrator with your account information to have the suspension lifted.

 

【Regarding storage limits】

Q:How much storage capacity do I have after applying?

  • Faculty and staff (30G),Students (10G)

Q:Can I increase my storage capacity?

  • Currently, it's 30GB for staff and 10GB for students. The current practice is to increase the space by purchasing additional user licenses. In the future, depending on actual needs and school funding, it may be possible to increase the number of purchased user licenses to expand user usage. If there's a special need for a large amount of space, you can contact the computing center personnel to evaluate and increase the allocation.

Q:Why was the storage unlimited before, but now it's restricted, making it very inconvenient to use?

  • Previously, Google provided unlimited storage space for education accounts, but there was a policy change in 2021, and unlimited storage capacity is no longer available. To safeguard the rights of all users in the school, the computing center had to adjust the storage space for all faculty and students' Google accounts, ensuring that the total capacity of the school does not exceed the allowed limit to prevent all accounts from being locked and unusable.

​【Account validity period】

Q:Can I continue to use this service after resigning or retiring?

  • Resignation: Accounts are retained for six months, and notification emails are sent before the account is cleared.
  • Retirement: Accounts can still be used.

Q:Can alumni apply this service?

  • Our center accepts applications only from current faculty, staff, and students of the university. 
  • Currently, alumni applications have been discontinued. For any inquiries, please contact the university's alumni center.

Q:Can I continue to use this service after graduating?

  • Due to Google's policy changes, student accounts will be retained for one year after graduation, and notification emails will be sent before the account is cleared.

【Google Meet Questions】

Q:How to apply for a Google Meet account?

  • If you have already applied for a Google education account, you can use the Meet - Google service by logging in, and there is no need to apply separately.
  • If you have not yet applied for a Google education account, you can apply online through the application link and activate it by receiving a verification email.

Q:What is the maximum number of participants for Google Meet? Can I use the recording feature of Google Meet?

  • The current licensed version is Education Plus (paid version), which allows up to 1,000 participants in meetings, with a maximum meeting duration of 24 hours, and includes the recording feature. However, this feature is only available for faculty and staff accounts (@email.nchu.edu.tw). Accounts applied for after September 1, 2022 are all Education Plus versions. For accounts applied before September 1, 2022, but not yet activated, you can also contact the computing center administrator for assistance in activation. If students have special requirements, they can submit an additional application to the computing center.

 


 

【Regulations】

  • The email accounts provided by Google's application service are not official accounts of the school. In the future, any relevant information provided by the school will be communicated to all faculty, staff, and students via the @nchu.edu.tw and @mail.nchu.edu.tw mailboxes currently provided within the campus.
  • Please be reminded that according to the Ministry of Education's "Guidelines for Email Services and Security Management in the Education System," when conducting official or core business within the school, units should use the email accounts provided by the school for sending and receiving emails, and non-official email accounts should not be used.
  • To verify the eligibility of users within the school and streamline the application process, you must correctly fill in the email account provided by the school. After reading the policies of the Google Application Service Professional Edition and Education Edition Administrator Plan, you can proceed with the application.
